Stedia

Tools and knowledge

Choose which tools and knowledge bases Stedia may use, for the whole workspace or per team.

Settings → Tools and knowledge decides what Stedia and your assistants can reach. Turn something off here and nobody it applies to can use it, even if they connected the tool themselves.

What you can switch

GroupSwitches
FeaturesWeb search, Create images
Connected toolsOne switch per tool, for example Gmail or Linear. Connect a new tool opens Connected tools
Knowledge basesOne switch per knowledge base. Shows "No knowledge bases yet." until you add one

Everything starts switched on. A change saves as soon as you flip the switch.

Below the switches, Action presets turns action presets on or off for the whole workspace.

Workspace or per team

On Pro, or on Business without teams, the switches apply to the whole workspace.

With teams on Business or Enterprise, Applies to sits above the switches. Pick Everyone for the workspace setting, or a team to set its own switches.

  • A team setting wins over the workspace setting.
  • Members outside every team follow the workspace settings.

Example: Web search is on for the workspace, but you turn it off for the team "Accounting". People in Accounting can't search the web. Everyone else still can.

What turning something off does

  • In chat, Stedia stops using it right away for everyone the setting covers. With Web search off it can't search the web, with Create images off it can't create images, and a switched-off tool or knowledge base is left out.
  • Schedules that need a switched-off connected tool don't start. The run shows "The run did not start because these tools are not connected", followed by the tool names. Turn the tool back on or edit the schedule.
  • Nothing is deleted. Connections, knowledge bases and their content stay as they are. Turning the switch back on restores access.

Turning off is not disconnecting

A switch hides a tool from Stedia. It does not sign anyone out of the tool. To remove a connection, open the tool in Connected tools and choose Disconnect in the connection's menu.
